Privacy Policy
Last updated September 24, 2026. WhistleCall is a referee scheduling service run by an individual coordinator. This page explains what we collect, why, and how to reach us. See also the Terms of Service.
Text alerts are not active yet. Game notifications continue by email while we prepare the service.
What we collect
- Name and email address — to identify you on the schedule and send sign-in links and game notifications.
- Referee mobile phone number — optional. Used for assignment texts only after the referee opts in, and for a coordinator to reach them about last-minute changes.
- Parent or guardian mobile phone number — optional when text enrollment launches. The account holder may add it, but we will not send automated texts until the parent or guardian checks their separate consent box in the portal.
- Birth year — to match referees to appropriate age groups.
- Referee certificate — optional. Uploaded by you so a coordinator can verify your certification.
- Availability, assignments, and responses — the games you are offered, accept, decline, or confirm you worked.
Text messages (SMS)
When text alerts launch, referees will be able to check their SMS box in the portal to receive game offers, schedule changes, and cancellations. A parent or guardian with access to the referee portal will be able to enter their own number and check a separate, optional SMS consent box. Saving a number alone will not enroll anyone or send a text. Parent and guardian alerts will be informational; they cannot accept or decline an offer for the referee. We do not send marketing texts. - Frequency — varies with your schedule; typically a few messages per week during the season.
- Cost — message and data rates may apply according to your mobile plan.
- Opting out — uncheck your box in the portal or reply STOP to any message. After a carrier STOP, texting START restores delivery and re-enrolls the number. You will receive one confirmation and no further texts. Email notifications continue.
- Help — reply HELP to any message, or email us at the address below.
- Sharing — mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Phone numbers and consent status are shared only with our SMS delivery provider to send the messages you agreed to receive.
How we use your information
Only to run the schedule: matching referees to games, sending offers and notifications, verifying certifications, and tracking pay. We do not sell your information and we do not use it for advertising.
Who can see it
League coordinators see the roster, including names, emails, referee and parent or guardian phone numbers, birth years, and certificate status. Referees see only their own information, their parent or guardian contact, and their own games. Other referees never see your contact details.
Where it is stored
Data is stored on Cloudflare infrastructure in the United States. Certificates are stored in private storage that is never publicly accessible. Email and text messages are delivered through third-party providers under contract, who receive only what is needed to deliver each message.
How long we keep it
Your record stays while you are an active referee. When a coordinator deactivates you, your certificate is deleted. Contact us to have your remaining information removed.
